Organize sections, groups and collaborations

Organize sections, groups and collaborations

Sections describe products, games or areas of work; groups describe audiences and goals.

How to use it

  1. An owner, admin or manager creates a section with a name and purpose. Game name and HTTPS URL are optional. Add groups for any audience, such as creators, developers, players, communities or partners, and describe each group's goal.
  2. Sections use compact tabs and the group is selected from a dropdown. In contact and collaboration forms, select an existing section and group; create a missing one inline without closing the form or losing the draft. A contact can belong to several groups. Existing archived relationships are retained during ordinary editing, but new links to archived sections or groups are unavailable; a removed archived relationship cannot be added again while it remains archived.
  3. Create a collaboration from the contact record. Set a title and a matching section and group, then optional game and campaign details. One contact may have several distinct conversations.
  4. Choose a stage: New → Contacted → Replied → Agreed → Published → Closed. Set a next action and due date; after publication, save its URL. Archiving a section or group preserves related records.

Advice and practical context

Separate a contact from a particular campaign

A contact stores lasting information about a person; an opportunity describes one collaboration. Create a separate opportunity for each game or campaign when the stage or terms differ. Add the contact, collaboration title, game, game URL, and campaign. One creator can then take part in several placements without duplicating the person when a campaign name changes.

Check that the right contact and game are selected. New contact means the opportunity has been created; Contacted means you moved it after reaching out; Replied records a response; Agreed means terms were accepted; Published marks a placement; Completed closes the work cycle. CRM does not send messages or confirm publication automatically.

Set a next action and close the loop

Write a concrete action: confirm the format, check a link, agree on a date, or review a publication. Add a due date so the opportunity appears in Next steps as overdue, due today, or upcoming. Date and time are saved as a point in time; consider the device time zone shown in the list. Opportunities without a due date do not appear in the agenda, so add one when it helps you plan.

Record agreed terms in notes and save the publication URL after the content is live. Check that the link belongs to the right game and creator; the field does not measure views or prove that deliverables were met. When work is finished, move the record to Completed or archive it. Keep its history if you may need to review the original agreement later.

Collaborations and games

A collaboration opportunity is a separate record linked to a contact. It can include a title, game and game URL, campaign, stage, next action and due date, publication URL, notes and archive state. Stages are New contact → Contacted → Replied → Agreed → Published → Completed.

The contacts table supports search, filters by type, platform and state, and sorting. The pipeline has six stages; choose a stage to move a card, including with the keyboard. Agenda groups overdue, due today and upcoming actions.

Create sections and groups for any audience and goal: creators, developers, players, communities, partners or other work. A game link is optional. Archiving a section or group preserves contacts, opportunities and history.

The Briefs & applications tab manages game briefs and creator applications in the selected project. These are separate records: private CRM contacts are not published. Open an application for messages and save a next action and due date.

Viewers can only read. See Game briefs for the publication and application workflow.

Section: name, purpose and game

Use the name to identify a product or area of work and purpose to explain the intended outcome. Game name and HTTPS URL are optional.

Group: audience and goal

A group belongs to a section. Describe who you work with and why; choose a matching section and group for an opportunity.

Title and contact

Use a title to distinguish the collaboration; each opportunity has one linked contact.

Game and campaign

Add the game name, HTTPS link and campaign name to distinguish separate placements and projects.

Stage

New contact → Contacted → Replied → Agreed → Published → Completed. A blocked contact cannot progress an active opportunity.

Next action and due date

Record what to do next and set a date and time. Agenda groups overdue, due today and upcoming items.

Publication and notes

After a placement, add its publication URL and record terms or outcome notes.
