Import contacts and complete history

Import contacts and complete history

Review the selected workspace and file preview before saving.

How to use it

  1. UTF-8 CSV transfers contact fields: name and contact are required, with previews of up to 50 contacts. CSV export does not include complete history.
  2. To transfer conversations and plans, choose a history JSON file of up to 3.5 MB. Its preview shows sections, groups, entries, events and conversations. Shared CRM bulk import is available to owners, admins and managers.
  3. Contacts match by their exact normalized name and contact route; review spelling variations first. Existing fields and blocks are preserved, groups are added; the current opportunity stage, plan and notes are preserved. Stable keys prevent duplicate events when reimporting the same file. After a failure, saved batches remain; fix the file and retry.
  4. Limits apply independently to the personal workspace and each shared project: 1,000 contacts, 2,000 collaborations, 5,000 events, 100 sections, 500 groups and 900 KB, including archives. Revoked project access or an archived project closes shared CRM access without transferring personal records.

Advice and practical context

Review a CSV before saving

Use UTF-8 CSV with comma separators and the columns from the MARPLA template. name and contact are required, and one import accepts no more than 50 contacts. Select a file, wait for the preview, then check each row’s name, type, and contact route. If the file cannot be read, correct its encoding, separator, and required values in the source sheet before uploading it again.

The server matches contact records by name and business contact. Matches are skipped and existing contacts are not overwritten; review the imported and skipped counts afterward. CSV transfers contacts only: opportunities, tasks, and interaction history are not included. Exporting contacts is also not a full CRM backup, so preserve history and relationships separately if you need them for recovery.

Plan around account limits and archives

The account limits are 1,000 contacts, 2,000 opportunities, 5,000 events, and 900 KB for the complete CRM document. Archived contacts, opportunities, and events still count toward their respective limits. Archiving or deleting records does not convert them into free capacity for new data. Check the file contents and import only current contacts before a large upload.

Export writes contact fields to UTF-8 CSV so you can move them into a spreadsheet or another system. It does not include the complete activity timeline, kanban links, or all opportunity data. Review the file after export, store it in an approved location, and keep it out of public repositories and shared documents. CSV export cannot provide a complete history backup.

Technical detailsCalculations, permissions and behavior

Import, limits and archive

CSV import previews up to 50 contacts and lets you map fields; the server checks for duplicates before saving. Export produces UTF-8 CSV for contact data, not a complete backup: it does not include the full history. A separate JSON history import previews sections, groups, entry, event and conversation counts before saving.

Check the selected workspace and file, then start the import. Contacts match by the exact normalized combination of name and contact route; review different spellings of the same person first. Stable event keys prevent duplicate events when reimporting the same file.

Existing contact fields and blocks are preserved; groups are added; an existing opportunity’s current stage, plan and notes are preserved. Historical outbound events may be recorded for blocked contacts: this records the past and does not authorize new outreach. Emails are not fetched automatically and messages are not sent.

If an import stops, saved batches remain; fix the error and retry the same file. Limits apply independently to your personal workspace and each shared project: 5,000 contacts, 2,000 opportunities and 5,000 events, including archived records, with up to 8 MB of total data. Large workspaces are saved in chunks; history and archived records are never truncated.

A workspace also supports up to 100 sections and 500 groups. History files can be up to 3.5 MB and save in batches of up to 100 entries. Archived records remain viewable and still count toward limits.

Check linked records and history before deleting or archiving.
